Job Title: Client Proposal Administrator

Job Summary:
The Client Proposal Administrator will play a key role in supporting the sales and business development teams by preparing, managing, and distributing client proposals. Using standardized templates, this individual will ensure that all proposals are submitted accurately and on time, while maintaining a high level of professionalism and attention to detail.
Key Responsibilities:
Proposal Preparation and Submission:
Draft, format, and customize client proposals using standardized templates.
Ensure proposals are aligned with the company’s products, services, and strategic goals.
Track and ensure timely submission of proposals to clients.
Maintain a detailed log of proposal submissions and outcomes.
Template Management:
Maintain and update proposal templates as required.
Ensure all templates are compliant with company branding guidelines.
Regularly review and improve template content for accuracy and relevance.
Client Communication:
Serve as the primary contact for clients regarding proposal queries.
Respond to client requests for proposal revisions or clarifications.
Coordinate follow-up activities post-proposal submission, including status tracking and client feedback.
Collaboration with Internal Teams:
Work closely with sales, marketing, and business development teams to ensure consistency in messaging.
Assist in gathering data or information from other departments to include in proposals.
Collaborate with the legal and finance teams to ensure contract compliance within proposals.
Document Management:
Ensure all proposals are filed and stored in an organized and accessible manner.
Maintain version control of templates and proposals.
Assist in audits and reviews related to proposal submissions.
Qualifications:
Bachelor’s degree in Business Administration, Marketing, Communications, or related field.
Proven experience in a similar role, preferably in sales support or business development.
Excellent written and verbal communication skills.
Strong attention to detail and organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management software.
Ability to manage multiple tasks under tight deadlines.
Knowledge of industry-specific terms and standards (depending on the industry).
Preferred Skills:
Experience working with CRM systems (e.g., Salesforce, HubSpot).
Familiarity with proposal management tools or software (e.g., RFPIO, Qvidian).
Experience in formatting and editing complex documents.
